I-Command Solutions, LLC d/b/a ICommand Bookkeeping ("we," "us," or "our") operates the ICommand Bookkeeping platform. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our software-as-a-service application, including any associated SMS notification services.

2. Information We Collect

We collect information that you provide directly to us when using our platform:

Account Information: Name, email address, phone number, company name, and role within your organization.

Financial Data: Accounting records, invoices, bills, payroll information, bank account details, and other financial data you enter into the platform. This data belongs to you and your company.

Phone Numbers for SMS: When your company administrator registers your phone number for system alert notifications, we store your phone number and consent status. We only send SMS messages after you explicitly opt in by replying "YES" to our opt-in request.

Usage Data: We automatically collect certain information when you access the platform, including IP address, browser type, pages visited, and actions taken (via our audit trail system).

3. How We Use Your Information

We use the information we collect to: provide and maintain the ICommand Bookkeeping platform; send system alerts and notifications via SMS to opted-in recipients; process payroll, invoices, and other financial operations; maintain audit trails for compliance and security; improve our services and user experience; and respond to customer support requests.

4. SMS Notifications

Our platform includes an SMS notification service for system alerts, error notifications, and support ticket updates. Key details:

Consent: We only send SMS messages to recipients who have explicitly opted in by replying "YES" to our registration message. Your company administrator initiates the opt-in request, but you must confirm before any alerts are sent.

Message Frequency: Message frequency varies based on system events. Alerts are sent when system errors occur, when high-priority support tickets are submitted, or when other configured events trigger. Low and medium priority alerts are only sent during business hours (7:00 AM – 8:00 PM in your company's timezone).

Opt-Out: You may opt out at any time by replying STOP to any message from us. You can also reply HELP for support information. Your company administrator can also remove your number from the alert system.

Costs: Standard message and data rates may apply. We do not charge for SMS notifications, but your mobile carrier may.

Data Sharing: Phone numbers and SMS message content are shared with our SMS provider (Twilio) solely for the purpose of message delivery. We do not sell or share your phone number with any other third parties for marketing purposes.

5. Data Security

We implement appropriate technical and organizational measures to protect your data, including: encryption of sensitive fields (SSN, API keys) at rest; HTTPS/TLS encryption for all data in transit; role-based access controls limiting data access to authorized users; comprehensive audit trail logging all data access and modifications; and regular automated database backups.

6. Data Retention

We retain your financial data for as long as your company account is active and as required by applicable tax and accounting regulations. SMS consent records and notification logs are retained for compliance purposes. You may request deletion of your personal data by contacting your company administrator or our support team.

7. Third-Party Services

We use the following third-party services to operate our platform: Supabase (database hosting and file storage); Vercel (application hosting); Twilio (SMS delivery); and Resend (email delivery). Each of these providers maintains their own privacy policies and security practices. We only share the minimum data necessary for each service to function.

8. Your Rights

You have the right to: access the personal data we hold about you; request correction of inaccurate data; request deletion of your data (subject to legal retention requirements); opt out of SMS notifications at any time; and export your financial data using our backup/export feature.

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
